Reminders & Email Alerts

Contract renewal reminders that land in your inbox.

Missed notice windows and silent auto-renewals lock in budgets you meant to renegotiate. PacTerm reads the dates and clauses in every contract, tracks every deadline and emails the people who own them.

How it works

From contract clause to calendar-ready alert.

PacTerm reads the dates

End dates, renewal clauses and notice periods are extracted from each contract and standardized, including end dates calculated from start date and term.

Deadlines are calculated

Expiry, auto-renewal and the non-renewal notice deadline (end date minus the notice window) are computed and ranked by urgency.

Owners are alerted

Reminders appear in the app by workspace, and each user can opt in to a weekly email digest on the weekday they choose.

Capabilities

Everything you need to stay ahead of renewals.

Three deadline types

Expiring soon, auto-renewal and non-renewal notice deadlines: the three dates that decide whether you renegotiate or roll over.

Built-in urgency

Critical inside 30 days, warning inside 60, upcoming beyond that, so the riskiest deadlines always sit at the top.

Adjustable look-ahead

Choose how far ahead to look, up to 365 days, to match your category review and sourcing cycles.

Weekly email digest

Opt-in per user, on the weekday they pick: totals by urgency, then every item grouped by workspace with its due date and a suggested action.

Grouped by workspace

Reminders roll up by workspace (category, region or project), so each owner sees the deadlines that are theirs.

Personal dismissals

Act on a reminder and dismiss it for yourself without hiding it from colleagues who still need to see it.

Inside the email

A Monday-morning briefing, not another dashboard to check.

The weekly digest gives every contract owner a short, prioritized list of what needs attention, so renewals get handled in time, even when nobody logs in.

  • Subject line with the count, such as “PacTerm reminders: 7 actions (Monday digest)”
  • Totals by urgency: critical, warning and upcoming at a glance
  • Grouped by workspace with contract, deadline type and due date
  • A suggested action for every item: send notice, renegotiate, re-source or renew

FAQ

Frequently asked questions

How does PacTerm calculate a notice deadline?

It takes the contract end date and subtracts the notice period stated in the renewal or termination clause. That date, the last day to send non-renewal notice, is tracked as its own reminder.

Who receives the email alerts, and when?

Each user opts in individually and receives the digest at their own sign-in email on the weekday they pick, covering the workspaces they can access. The in-app reminders view is always live.

Does it catch auto-renewing contracts?

Yes. Contracts with auto-renewal clauses get a dedicated auto-renewal reminder, alongside the notice deadline you need to hit to stop the renewal.

Which plan includes reminders and email alerts?

Reminders and the weekly email digest are included on Professional and Enterprise, which include the Analytics step that calculates contract dates and expiry status.
